Escalate step by step. Stay professional and keep everything in writing.

  1. Check the basics: did they receive the invoice? Is it correct, and does it include any PO number or details they require? Sometimes it's simply stuck in their accounts process.
  2. Send a friendly reminder shortly after the due date:

Hi [name], just a reminder that invoice [number] for [amount] was due on [date]. Could you let me know when payment is scheduled? Thanks!

  1. Follow up firmly a week later, referring to the payment terms you agreed and asking for a specific payment date.
  2. Pause work if your contract allows, and tell them politely that you'll resume once overdue invoices are paid.
  3. Use the platform's process if you worked through a freelance marketplace. Many have payment protection and dispute processes for eligible contracts.
  4. Consider formal options for significant amounts: a formal demand letter, or legal advice. Weigh the cost against the amount owed.

Preventing it next time:

  • Take a deposit from new clients.
  • Invoice by milestone or monthly, not only at the end.
  • Write clear payment terms in the contract.
